The Executive/Project Co-Ordinator is responsible for providing administrative and HR/Administration project management support to the Director of Human Resources and Administration in accordance with the mission and policies of YWCA Toronto.

KEY RESPONSIBILITIES
  • Provides confidential administrative/executive support to the Director of Human Resources and Administration
  • Responsible for exercising considerable judgement in managing the Director of Human Resources and Administration’s schedule/calendar; schedules appointments, co-ordinates meetings
  • Develops, implements and maintains Human Resources communication vehicles in keeping with the mission and values of the Association (e.g. intranet/shared resource files).
  • Assists with the preparation of funding proposals and reports including the collection of data and information
  • Supports Equity, Diversity and Inclusion initiatives, as required, including supporting the implementation and maintenance of the workforce demographic survey and analysis and reporting of data
  • Assists with preparing and monitoring HR budget lines
  • Prepares billing and payment requests for invoicing, purchase orders and payment requisitions as required
  • Supports Human Resources and Administration Managers with project co-ordination for special projects/initiatives, as required (e.g. psychological safety program, updating of policies.
  • Co-ordinates the collection of data and metrics for the Human Resources and Administration departments; analyzes data and produces reports, as required
  • Works with the Manager of Special Projects to implement and maintain the Association-wide Evaluation framework/system (through the Annual Program Report and other tools). 
  • Collects, organizes and analyses evaluation metrics and information
  • Creates reporting tools and dashboards for evaluation metrics

QUALIFICATIONS
  • In-depth knowledge of human resources/business administration normally acquired through the completion of an undergraduate university degree in a relevant field
  • 3 to 5 years directly related work experience
  • Advanced organizational and office administration skills
  • Proven ability to write executive level correspondence, reports, briefing notes and other written material
  • Expert level knowledge of current computer applications such as Microsoft Office, Desktop Publishing, Database software, E-mail, and Internet in a windows environment
  • Demonstrated financial management skills
  • Strong project management skills
  • Working knowledge of data and evaluation systems
  • Ability to maintain a high level of confidentiality and professionalism
  • Ability to work under pressure and respond to changing priorities
  • Highly detail oriented with a focus on quality and accuracy
  • Ability to work in a diverse and multicultural environment
  • Excellent interpersonal and oral communications skills. 
  • Must demonstrate strong initiative and must be goal-oriented
