The Business Administrator is responsible for all administrative, financial and technical support duties for the program. The position ensures compliance with funding guidelines and works as part of the team in contributing to quality service delivery and achievement of program goals while maintaining an effective working relationship with the community and in accordance with the Mission and Policies of YWCA Toronto.

KEY RESPONSIBILITIES
  • Provides in-person reception duties, ensuring a welcoming environment for participants and the general public; answers participant inquiries via in-person, telephone, and email, refers participants to community resources as required;
  • Applies strong problem-solving skills and diplomacy to deal with a broad range of highly contentious issues with clients and potential clients;
  • Maintains registration and waiting lists for the program;
  • Works with a team to improve workflow procedures and systems for program;
  • Assists in participant outreach, pre-screening, and acceptance into the program; uploads participant information on tracking databases and spreadsheets;
  • Creates and updates participant files in Case Management System, CTS or other databases;
  • Ensures all data required for program reporting is collected and recorded accurately and assists with maintaining accurate participant records;
  • Provides support with team meetings to send out agenda, take minutes and file records;
  • Supports with sending and collating participant surveys;
  • Assists with narrative and program statistical reports; compiles participant testimonials;
  • Assist Manager with preparing and monitoring the program budget;
  • Assist Manager with financial statements preparation for quarterly reviews and year-end reports;
  • Prepares forecasts of cash flow, monitors expenses and uploads the required information to the funder and partner approved systems in consultation with the Manager
  • In consultation with the Manager, prepares monthly claims and backup documentation, and submits them to the
  • funders and program partners for reimbursement
  • Maintains and prepares all bookkeeping according to the YWCA Toronto standards and policies
  • Processes and maintains accounts payable and accounts receivable entries in GP Dynamics and exports to the Finance Department; monitors outstanding payments where necessary
  • In collaboration with the program Manager and Job Developer, oversees all financial aspects of administering wage subsidies to program participants, including preparing all required financial documentation, monitoring payments, communicating with participants and reporting any discrepancies and issues
  • Monitors and balances petty cash accounts
  • Responsible for administration of office systems and equipment including ordering capital purchases and maintaining inventories of all office supplies, computers and equipment
  • Responsible for program records management, which includes maintaining filing systems, recording monthly data in various databases for internal analysis and external reporting, and developing procedures and criteria for archiving and disposal
  • Assists the Manager in checking data entry, monthly client statistics, Presto distribution, mileage reimbursement, etc.
  • Shares responsibility for building security, including opening and night lock-up.
  • Shares responsibility for the health and safety issues (i.e. evacuation of floor during fire drills)
  • Ensures that the Health and Safety Guidelines are followed in accordance with the policies and procedures of
  • YWCA Toronto.
  • Assists with the coordination and implementation of special events such as graduations, or recruitment fairs

QUALIFICATIONS
  • In-depth knowledge of an academic or technical discipline normally acquired through completion of an
  • undergraduate degree (accounting, finance, business administration, commerce or related field). (Cases for Equivalency will be considered);
  • 3- 5 years’ demonstrated knowledge and experience in bookkeeping and accounting principles required
  • Related experience delivering office administration in customer facing environments is required.
  • Advanced computer skills in Windows, Word, Excel, Internet, and database applications.
  • Very strong organizational skills and detail-oriented with the ability to follow through on competing tasks and
  • meet deadlines.
  • Motivated to engage with a variety of people (e.g., participants, vendors, guest speakers) and deliver exemplary service and maintain discretion, ethical boundaries and confidentiality
  • Demonstrated skills in resolving client concerns, dealing with a diverse range of participant needs, upholding respect and diplomacy when handling challenging situations
  • Ability to work both in a team and be self-directed to work independently
  • Knowledge of youth, women’s services, settlement, adaptation and employment programs required Experience using OneDrive, Eventbrite, Zoom, MS Teams, LinkedIn and/or Learning Management Software is an asset.
