The Business Administrator, as a member of the YWCA Toronto Employment and Training team, is responsible for a variety of coordination, administrative, financial and technical duties, and assisting in the operations and facilitation of the effective administration of the JUMP Scarborough and Health Connect programs. The Business Administrator will work as part of a team, contributing to quality service delivery and achievement of all JUMP Scarborough and Health Connect program goals. The position will maintain effective working relationship with the community, employers and program partners and in accordance with the mission and policies of YWCA Toronto.

ABOUT YWCA TORONTO – YWCA JUMP SCARBOROUGH
YWCA JUMP Scarborough is a settlement program for newcomer women, female youth and gender diverse people in Scarborough and surrounding areas. The program has a strong employment emphasis paired with services addressing the adaptation, settlement and integration needs of newcomer women and female youth.  A comprehensive portfolio of services include: needs and assets assessment, information and orientation, pre-employment, job search and skills training programs, wellness and mental health supports, community connections and professional networking opportunities; satellite workshops are offered in the North/East end of the GTA.

KEY RESPONSIBILITIES
  • Assists the Managers with proposals and funders financial reports and forms
  • Prepares and monitors the budget in consultation with the respective Manager
  • Assists with all regular and/or annual program audits required by funders and program partners
  • Oversees and monitors expenses, suggest budget changes as needed
  • Prepares forecasts of cash flow, monitors expenses and uploads the required information to the funder and partner approved systems in consultation with the Managers
  • In consultation with the Managers, prepares monthly claims and backup documentation, and submits them to the funders and program partners for reimbursement
  • Maintains and prepares all bookkeeping according to the YWCA Toronto standards and policies
  • Prepares financial statements for quarterly reviews and year-end reports in consultations with the Managers
  • Processes and maintains accounts payable and accounts receivable entries in GP Dynamics and exports to the Finance Department; monitors outstanding payments where necessary
  • Monitors payments and revenue monthly and brings discrepancies to the attention of the Managers and Finance Department; generates journal entries for corrections
  • For the Health Connect program, in collaboration with the program Manager and Job Developer, oversees all financial aspects of administering wage subsidies to program participants, including preparing all required financial documentation, monitoring payments, communicating with participants and reporting any discrepancies and issues
  • Responsible for updating and maintaining the financial components of the partnership agreements
  • Monitors and balances petty cash accounts
  • Provides administrative and organizational support to the Manager and staff team, and prioritizes urgent matters requiring attention
  • Provide regular backup for the front desk staff, answers, screens and directs calls from the switchboard and replies to program email and telephone inquiries
  • Ensures that office and program supplies for staff team are available and re-ordered as needed
  • Acts as a contact for all vendors and lessors
  • Responsible for program records management, which includes maintaining filing systems, recording monthly data in various databases (e.g. iCARE or CTS) for internal analysis and external reporting, and developing procedures and criteria for archiving and disposal
  • Assists the Managers in checking data entry, monthly client statistics, TTC tickets distribution, mileage reimbursement, etc.
  • Assists in the preparation of narrative reports to the funder
  • Participates as a contributing member of the JUMP Scarborough and Health Connect teams; supports all department activities and attends community meetings as required
  • Supervises volunteers and student placements as needed
  • Any other duties as required
QUALIFICATIONS
  • In-depth knowledge of an academic or technical discipline normally acquired through completion of an undergraduate degree (e.g. finance, business administration, commerce or related field). Work involves application of theoretical knowledge to job related activities
  • Demonstrated knowledge and experience in bookkeeping and accounting principles required;
  • 3-5 years directly related work experience;
  • Must have advanced computer skills in Windows, Excel, Internet, and database applications;
  • Knowledge of youth, women’s services, settlement, adaptation and employment programs required;
  • Demonstrated ability to work under pressure;
  • Superior customer service, verbal and written communication skills;
  • Very strong organizational skills and detail-oriented;
