The Human Resources Administrative Assistant is responsible for providing administrative support to Senior Manager of Human Resources and Administration. This position will also provide administrative support to the Human Resources department in all HR functional areas including recruitment, labour relations, benefits administration, training and development and Human Resources Information Systems (HRIS).

KEY RESPONSIBILITIES
  • Provides administrative support to the Senior Manager of Human Resources and Administration, including managing calendars, scheduling meetings, monitoring incoming mail, and prioritizing urgent matters for immediate attention
  • Supports Benefits and Compensation related administrative tasks
  • Manages job postings on recruitment platforms, including preparing, posting, updating, and circulating vacancies through appropriate recruitment channels
  • Prepares hiring documents, forms, and employment offers for all staff in accordance with recruitment policies and procedures and the Collective Agreement, where applicable
  • Maintains accurate and up-to-date HR filing and administrative systems and personnel records in both hard-copy and electronic formats
  • Enrols, processes changes, and removes employees from benefit plans and pension plans in accordance with eligibility requirements and established procedures
  • Prepares and distributes monthly workforce reports, including new-hire, termination, and transfer information
  • Supports the People and Culture Partner and Advisor with maintaining WSIB-related records
  • Supports the preparation of HR reports, statistics, and tracking documents
  • Prepares purchase requisitions and submits them to Accounts Payable for payment

QUALIFICATIONS
  • Completion of a community college diploma in human resources or office administration
  • 1-3 years directly related work experience in a human resources environment
  • Must have intermediate computer skills and a strong knowledge of Microsoft Word and Excel
  • Experience working with an HRIS an asset
  • Highly detail oriented with a focus on quality and accuracy
  • Ability to manage confidential information and deal with sensitive issues
  • Excellent interpersonal and communication skills
  • Excellent organizational and administrative skills
  • Ability to work under pressure in a fast-paced environment
  • Ability to work with a range of people within a multi-cultural unionized environment
  • Ability to work with an anti-oppressive and feminist framework
